Microsoft Project has evolved from a single desktop application to a diverse portfolio of project management tools to meet the different needs and ways of working of modern organizations. Developments in project management methodologies, advances in cloud technology and remote office have all contributed to this diversification. Microsoft now offers four main variants for project management, each with specific features aimed at different application scenarios. However, the impact of the chosen approach should not be underestimated and has lasting consequences. We would therefore like to help you choose the most suitable version to avoid complications later on.
Microsoft Project Desktop is the traditional version, designed for individual project managers or teams who prefer robust software installed on PC or VDI (Virtual Desktop) for comprehensive project planning and management. With features such as Gantt charts, detailed resource planning, complex linking and extensive reporting options, it is particularly suitable for complex projects where detailed control and analysis is required. Companies that want to provide the most in-depth support possible for their projects are generally best advised to use it. It should also be mentioned that the desktop version can also work with plans via a sharepoint. This means that the plans are available from anywhere via the classic check-in/out function and can be read by ERP systems such as the Microsoft Power Platform. We recommend an upper limit of around 8,000 processes to ensure performance, traceable dependencies and readability.
Microsoft Project Online is aimed at organizations that value the flexibility of the cloud and want to access their project management tools from anywhere without having to provide pre-installed software. This version not only supports the management of individual projects, but also portfolio management and offers extended collaboration options. It is ideal for organizations working in dynamic environments where teams are distributed and constant availability of the latest project information and resources is required. The management of data is significantly more tedious than within the desktop version and lacks various features, however in our experience up to 1000 tasks can still be managed within a project. A combination of Project Online for viewing the information and Project Desktop for editing is often a good way to utilize the advantages of both methods. You should only be able to rely on clear rights management to ensure a smooth process.
Microsoft Project for the Web is Microsoft's latest addition and aims to provide a user-friendly and accessible solution for project management tasks. This version is particularly suitable for teams and individuals who want to plan and manage projects quickly and without complicated setup, without being trained on more specialized software. It offers basic project management functionality and is accessible via a web browser, making it ideal for smaller projects and teams who prefer a simple, intuitive interface. We do not recommend recording more than 100-200 processes within this variant. The main problem is the lack of depth of links, information fields & inconvenient management within the web interface. This means that planning beyond service phase 2 of a project cannot be realized with this.
Microsoft Planner is an integral part of the Office 365 ecosystem, which is characterized by its excellent integration with other Office applications such as OneNote, Outlook and Teams. This integration promotes collaboration and efficiency by creating a seamless connection between task management and other communication and documentation tools. With its simple and intuitive user interface, Planner allows for quick adoption and use, making it ideal for teams looking for a straightforward solution to increase their productivity. Unlike Microsoft Project for the web, which is also integrated into the Office 365 ecosystem, Planner is particularly characterized by its focus on direct teamwork. We recommend treating Planner primarily as an agile planning method that is used in smaller project teams to ensure execution, rather than as a logic-driven planning tool for the actual processes.
The choice between these versions ultimately depends on several factors, such as the complexity of the projects, the team size, the need for mobility and the preferred type of licensing. Microsoft Project Desktop offers deep and detailed project management capabilities for users who need comprehensive control over their projects. Microsoft Project Online is ideal for organizations that value collaboration and flexibility and are willing to invest in a subscription model while already using the classic desktop versions. Microsoft Project for the web is the best option for users looking for an out-of-the-box, lightweight project management solution that offers less complex features but is simple and accessible. Microsoft Planner is really Microsoft To-Do for groups.
It can therefore be said that there are basically only two variants available in different versions for project management: Project for the Web & Project Online/Desktop
